The original request sounded simple.
Build a portal where fund managers could manage investors.

At first glance, it looked like another CRM.
But after mapping how investment firms actually operate, we realized investors weren't the difficult part.

Without one connected platform, these processes quickly become emails, spreadsheets, cloud folders, and manual follow-ups.
What We Discovered
The client didn't need another investor database.
They needed a platform that could manage the entire relationship between fund managers, investors, funds, and documents from one place.
Engineering Note
Funds were designed to be created before documentation is complete, allowing managers to continue building and updating a fund instead of waiting for every legal document to be ready.

Onboarding Was More Than Filling Out A Form

Investment onboarding isn't simply collecting a name and email.
Some investors are individuals. Others are investment entities.
Each follows a different onboarding journey. Different information. Different documentation. Different approvals.
Instead of forcing every investor through the same process, we designed flexible onboarding workflows that adapt based on the investor type.
Managers can review progress without repeatedly requesting missing information.
Behind The Scenes
The onboarding engine supports separate workflows for Individual and Entity investors, while tracking verification status and manager feedback throughout the process.
Documents Should Follow The Investment, Not The User
One of the first operational problems we uncovered was document management.
Legal agreements. Fund documents. Subscription forms. Compliance paperwork.
These documents aren't owned by one person. They're connected to both the investor and the fund.
Instead of uploading files into folders, every document was designed around business relationships.
Managers can immediately see which investors have access to which documents without manually organizing folders.
Engineering Note
Documents are linked to both Funds and Investors, allowing the same file to remain context-aware throughout the investment lifecycle instead of existing as disconnected uploads.

Money Doesn't Always Move Through The Platform

Engineering Note
Rather than integrating payment gateways, we focused on status tracking, confirmations, reminders, and operational visibility around Capital Calls and Distributions.
Initially, we expected payment processing to become part of the system.
After discovery, we learned that wasn't how fund managers operated.
Capital transfers already happen through banking channels. The platform didn't need to process payments. It needed to coordinate them.
Managers create Capital Calls. Investors confirm payment. Managers acknowledge receipt.
The workflow stays visible without moving money through the application.
The same approach applies to investor distributions. The platform manages communication and tracking while existing financial processes remain unchanged.
Every Fund Manager Wanted Their Own Platform
Another interesting discovery had nothing to do with investments.
Every fund manager wanted their own identity. Their own logo. Their own colours. Their own branded experience.
Instead of creating separate applications, we built a white-label architecture.
Each fund manager can customize their branding while the platform continues running from a single codebase.
Investors experience what feels like a dedicated platform for their fund manager.

Rather than expecting managers to manually notify every investor, the platform automates communication throughout the lifecycle.
Users receive updates through email and in-app notifications whenever important events occur.
The system keeps everyone informed without creating extra administrative work.
An Interesting Challenge
Notifications were designed around business events rather than pages, allowing the same trigger to notify users through email and in-app messaging simultaneously using OneSignal and Nodemailer.
